This Privacy Policy explains how Chairwarden ("Chairwarden," "we," "us," or "our") collects, uses, shares, and protects information when you use our website and salon-booking software (the "Service"). It applies to independent stylists who create a Chairwarden account (“Stylists”) and to their clients who book appointments through a Stylist's public booking page (“Clients”).
We collect information in three ways: Information Stylists provide directly: name, email, phone number, password, business/booking-link name, service list and pricing, and payment details (handled by our payment processor, Stripe — see Section 5). Information Stylists enter about their Clients: name, phone number, email, appointment history, and any notes the Stylist chooses to add. Stylists are the data controller for this information; Chairwarden processes it on their behalf. Information collected automatically: log data, device and browser type, IP address, pages visited, and general usage patterns, collected via cookies and analytics tools to keep the Service secure and to understand how it's used.
We use the information we collect to: provide, operate, and maintain the Service; process bookings, reminders, and payments; authenticate accounts and prevent fraud or abuse; respond to support requests; send Service-related communications (e.g., booking confirmations, reminders, billing notices); and improve the Service through aggregated, anonymized usage analysis. We do not sell personal information.
Where the General Data Protection Regulation (GDPR) applies, we process personal data under one or more of the following legal bases: performance of a contract (providing the booking service you signed up for), legitimate interests (securing and improving the Service), consent (e.g., optional marketing communications), and legal obligation (e.g., tax and accounting records).
We share information with a limited number of third-party providers who process it on our behalf, strictly to operate the Service: Stripe (payment processing — Chairwarden never stores full card numbers), a database/hosting provider (Supabase), a transactional email provider (Resend), and a privacy-respecting product analytics tool. Each provider is contractually bound to use data only to provide their service to us, not for their own purposes.
We retain account and booking data for as long as an account is active, and for a limited period afterward to comply with legal, tax, and accounting obligations or to resolve disputes. Stylists can request deletion of their account and associated data at any time by emailing hello@chairwarden.com; we will delete or anonymize data within 30 days, except where retention is legally required.
Depending on where you live, you may have the right to: access the personal data we hold about you; correct inaccurate data; request deletion; export your data in a portable format; object to or restrict certain processing; and withdraw consent at any time where processing is based on consent. California residents have similar rights under the CCPA/CPRA, including the right to know, delete, and opt out of the sale of personal information (which we do not engage in). We use a small number of essential cookies to keep you logged in and to remember basic preferences, plus privacy-conscious analytics cookies to understand aggregate usage. We do not use third-party advertising cookies. You can control cookies through your browser settings; disabling essential cookies may affect the Service's functionality.
We use industry-standard technical and organizational measures — including encryption in transit, access controls, and hosting with reputable infrastructure providers — to protect information against unauthorized access, alteration, or loss. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
Chairwarden's infrastructure providers may process data in countries other than your own, including the United States. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) to protect data transferred internationally.
The Service is intended for business use by adults and is not directed at children under 16. We do not knowingly collect personal information from children.
We may update this Privacy Policy from time to time. We will post the updated version here with a new effective date, and for material changes we will make reasonable efforts to notify Stylists directly.
